Email Setup & Configuration

How to connect your email account to Sarudo, supported providers, and configuring app passwords for secure access.

Supported Email Providers

Sarudo supports all major email providers including Gmail, Google Workspace, Microsoft Outlook, Office 365, Yahoo Mail, and any email service that supports IMAP and SMTP protocols. Most business email accounts work out of the box. During onboarding, your setup team will configure the connection using your email credentials. The connection uses industry-standard IMAP for reading emails and SMTP for sending, ensuring compatibility with virtually any email service.

ℹ️

What you'll need: your own email account (Gmail, Google Workspace, Outlook, Office 365, Yahoo, or any IMAP/SMTP provider). Sarudo connects to it during onboarding so every email sent by your AI employee uses your from-address, and deliverability follows the reputation of your own domain — not a shared Sarudo relay.

App Passwords & Security

For Gmail and Google Workspace accounts, you will need to generate an app password rather than using your regular password. This is a security feature required by Google when connecting third-party applications. To generate an app password, go to your Google Account settings, navigate to Security, then App passwords, and create a new password for "Mail." For Outlook and Office 365, you may need to enable IMAP access in your account settings. Your setup team will walk you through this process during onboarding.

⚠️

Never share your regular email password. Always use app-specific passwords. These can be revoked at any time without affecting your main account login.

Configuration Process

Email configuration is handled during your onboarding phase. You provide your email address, the app password, and your IMAP/SMTP server details (which we can usually auto-detect from your email provider). Once configured, your AI employee can read incoming emails, search your inbox, and send emails on your behalf. The connection is tested immediately to verify everything works correctly. If you need to change email accounts or add additional accounts later, contact your support team.

Verifying email connection

Check that your email is properly connected.

You say:
Can you check if my email is connected properly?
Sarudo responds:
Your email is connected and working. I can see your inbox with 23 unread messages. The most recent email arrived 12 minutes ago from david@partnerfirm.com regarding the contract review. IMAP and SMTP are both active. Would you like me to summarize your unread messages?

Multiple Email Accounts

While the standard setup connects one email account, it is possible to configure multiple email addresses. This is useful if you have separate accounts for different purposes, such as a personal business email and a team inbox. When sending emails, you can specify which account to send from. When reading emails, the AI can check all connected accounts or focus on a specific one. Discuss multi-account needs with your setup team during onboarding.
