How AI Calls Work

When your AI employee places a call, Vapi's voice AI handles the actual conversation. The AI speaks with a natural-sounding voice, listens to the other person's responses in real-time, and adapts the conversation accordingly. It is not playing pre-recorded messages — it is generating responses on the fly based on the context you provided and what the other person says. The AI can answer questions, provide information, negotiate, and handle common objections.

Best Use Cases

AI-powered calls work best for structured conversations with a clear purpose. Common use cases include appointment confirmations and reminders, order status inquiries, payment follow-ups, meeting scheduling, information gathering, and initial outreach calls. The AI excels when the conversation has a defined goal and a relatively predictable flow. It can handle unexpected questions by referencing your knowledge base and CRM data.

What AI Calls Can Do

The AI voice can introduce itself and state the purpose of the call. It can provide specific information like pricing, dates, and details from your knowledge base. It can ask questions and record the answers. It can handle scheduling by checking your calendar in real-time. It can take messages and relay information. And it can gracefully handle situations where the person is unavailable by leaving a voicemail or asking for a callback time.

Current Limitations

AI calls have some limitations to be aware of. Very complex negotiations or emotionally sensitive conversations are better handled personally. The AI may struggle with very heavy accents or poor phone connections. Group calls with multiple speakers are not currently supported. The AI cannot place emergency calls or calls to certain premium-rate numbers. For high-stakes conversations, consider placing the call yourself with the AI providing research and talking points beforehand.
