Onboarding Process

The 30-day setup timeline from initial consultation to full handoff, including what to expect at every stage.

Overview

Getting your AI employee up and running takes approximately 30 days from start to finish. This timeline is carefully designed to ensure your Sarudo instance is properly configured, trained on your business, and thoroughly tested before going live. The process is collaborative — we work closely with you at every stage to make sure the AI employee truly understands your business and works the way you need it to.

Phase 1: Requirements & Consultation (Days 1-3)

The process begins with a detailed consultation where we learn about your business, your workflows, and your goals. You will fill out an onboarding questionnaire covering your industry, team size, key contacts, communication preferences, and the specific tasks you want your AI employee to handle. We review your existing tools and integrations to plan the technical setup. By the end of this phase, we have a clear picture of what your AI employee needs to do and how it should behave.

The more detail you provide during the requirements phase, the better your AI employee will perform from day one. Share documents, style guides, and examples of how you communicate.

Phase 2: Technical Setup (Days 4-10)

During this phase, we provision your dedicated infrastructure and configure all requested integrations. This includes setting up your Telegram bot, connecting your email accounts, configuring phone systems if needed, setting up CRM, connecting payment processors, and any other integrations you require. Each integration is tested individually to ensure reliable connectivity. Your dedicated server is configured with all security measures including encryption, firewall rules, and automated backups.

Phase 3: Knowledge Training (Days 11-18)

This is where your AI employee learns about your business. We ingest all the documents, contacts, pricing information, and business knowledge you provide. The AI learns your communication style, your preferences for email tone, your standard operating procedures, and your business terminology. We configure custom templates, set up automation workflows, and fine-tune the AI's behavior to match your expectations. This phase involves multiple rounds of testing and refinement.

Phase 4: Supervised Launch (Days 19-25)

Your AI employee goes live in supervised mode. During this phase, all actions require your explicit approval, and our team monitors performance closely. You will start giving your AI employee real tasks and we will fine-tune responses based on your feedback. This is the most important phase for calibration — every correction you make helps the AI learn your preferences faster. Most clients find that by the end of this phase, the AI is handling tasks exactly the way they want.

Phase 5: Full Handoff (Days 26-30)

After the supervised launch period, we do a final review and handoff. Your AI employee transitions to normal operation where routine tasks are handled automatically and only sensitive actions require approval. You receive documentation on all configured features, a reference guide for commands, and direct access to our support team. We schedule a follow-up check-in for two weeks after handoff to address any questions and make final adjustments.
